KUCCPS INTER-INSTITUTIONAL TRANSFERS 2022/2023

The KUCCPS will conduct the Inter-Institutional Transfer process online for students who may wish to change their programmes and institutions.

The following laid down procedures and timelines for Inter-Institution transfer (IIT) process will apply.

Steps:
  • The *student* (applicant) initiates an online transfer application and submits to the receiving institution.
  • The receiving institution endorses the transfer applications received through their institution portal and submit.
  • The releasing institution (where you have received placement) receives the application and clears the student (applicant) through their institutions portal and submits.
  • The endorsed application comes to the CEO, KUCCPS for approval where a transfer letter will be generated and accessed by the applicant and the two institutions involved.
  • The applicant downloads the approved transfer letter and presents the same to the receiving institution for admission and joining instructions.

The online application system for Inter-Institutions transfers (IIT) will be on for a period of one (1) month.

Are you scheduled to sit the KCSE examination in March 2021? Or are you a school principal or a parent/guardian? The Kenya Universities and Colleges Central Placement Service (KUCCPS) has good news for you.

Application for placement to artisan, craft, diploma and degree courses under government sponsorship for the 2021/2022 academic year has commenced in secondary schools / KCSE
examination centres countrywide (school application).

The online application system is open, and will close on March 31, 2021. Here is what you need to know about the school application.

What is Centre/School Application?

This is the first opportunity given to KCSE examination candidates to select, list and submit the courses that they wish to pursue after their secondary education at degree, diploma, craft and artisan level. The application is done in secondary schools/examination centres that have registered KCSE candidates.

Who is eligible to apply?

All candidates qualify for placement to universities or colleges irrespective of their KCSE examination results (grades A to E). Candidates have an opportunity to choose their preferred courses as shown below:

i. Degree courses choices: 1(a), 1(b), 1(C), 2,3 and 4
ii. Diploma course choices: 1,2,3 and 4
iii. Craft course choices: 1,2,3 and 4
iv. Artisan course choices: 1,2,3 and 4

How does the school application happen?

• School principals are required to guide Form Four students in listing the courses they wish to pursue at all levels (degree, diploma, craft and artisan).
• The students are required to list the courses in the order of preference at all the levels.
• The principal/teacher then logs on to the KUCCPS portal (schools.kuccps.net), enters and submits the choices following the guidelines provided in the Principal’s Manual, which is available on the portal as a download.
• While submitting the choices, the principal/career teacher is also required to submit the placement fee collected from the candidates as one bulk payment.

Note: All secondary schools with KCSE examination candidates have been provided with  access credentials to the KUCCPS portal (schools.kuccps.net).

What are the advantages of school application?

Applying for placement at school (as opposed to after school) has numerous advantages to students:

• Teachers are available to provide career guidance to the students.
• Applying at school benefits students who live in remote areas or lack the necessary facilities such as the Internet at home. A majority of secondary schools have access to the facilities.
• In the past, many KCSE candidates performed well but failed to apply for placement to university and/or college resulting in them failing to be placed to courses of their choice. Applying at school before the KCSE examination ensures this does not happen.
• Students applying at school get an early exposure to courses and careers and tend to make better choices later at the application revision stage.
• Applying at school costs Ksh.500, hence is cheaper compared to submitting choices during the revision of choices, which costs Ksh. 1,500 per applicant.

What is the procedure for submitting students’ choices through the portal for the first time?

Once all the students have submitted their choices, the principal should follow the procedure outlined below.

• Go to your browser and enter the URL schools.kuccps.net or click Principal’s Portal on the KUCCPS website.
• If the school does not have an account in the KUCCPS portal, create one through the ‘New Account’ link. Fill in the relevant verification details and submit.
• Log in with the registered credentials, i.e. a username (TSC No. /ID. No. /PP. No.) and a password.
• Go to the ‘Applications’ tab.
• Click ‘Application Template’. This will download an Excel workbook for you to populate.
• After you have filled the template, click on ‘Upload Form’ and submit.

How much does one pay?

An application fee of Ksh. 500 shall be charged per student.

How do I make payment?

Candidates should submit the application fee to the school, which will in turn make the payments in bulk on behalf of the students. The money is payable to:

• KUCCPS Pay Bill Number: 820201
• Account number: 8 digit center code
• Amount: 500 x number of students

How does one confirm whether the application was submitted successfully?

The principal can generate an application report after successfully submitting the application. The application report should then be shared with the students and parents/guardians.

How can students confirm if their teacher submitted their choices?

KCSE candidates who have listed their preferred courses and paid the required Ksh500 should check with their principal to ensure that their application has been submitted. They can verify using an application report generated from the system after submission of the choices or they can contact KUCCPS for assistance.

What is the role of a parent/guardian in the school/centre application process?

A parent or guardian of a KCSE candidate should advise and guide the student in choosing the right course and thereafter follow up with the school to ensure the student’s choices have been submitted successfully to KUCCPS.

What is the role of a teacher?

Offering career guidance to the students and assisting them to select courses that fit their career dreams and are aligned to their KCSE subjects. They should also ensure that their candidates’ choices are submitted to KUCCPS before the deadline.

What is the role of a KCSE candidate?

Listing the courses they wish to do in university/college by taking into account their interests, personalities, KCSE subjects and projected KCSE result. They should not be swayed by peer pressure but should carefully consider their options and seek guidance from their teachers and parents.

Where can I get more information on different career paths?

The Placement Service has published The Essential Career Guide: Making an Informed Choice, a hand-book for students seeking to prepare adequately for the world of work. It provides insights to course selection, career opportunities, subject requirements and funding opportunities, among others.

The book is available in all the major bookshops at the cost of Ksh. 350. You can also buy it directly from KUCCPS or the Kenya Literature Bureau (KLB), which is the official distributor. A digital copy is available online through https://klbbooks.com.

This application is meant  for KCSE candidates who have been successfully placed to various universities and colleges in the 2022/2023 cycle but wish to be transferred to other institutions (Government-sponsored).

Once the application for inter institution transfer will start updates will be given.

Procedure on How to Apply for Inter University Transfer Online

Following these  steps:

  • Stage1; Visit: http://student.kuccps.net
  • Stage 2: Click Transfers Tab on Top (Then follow the steps below after payment)
  • Stage 3: SELECT PROGRAMME

Here you select the programme you want to transfer to, put the PROGRAMME CODE in the inter-institution transfer field. Then you will only be allowed to proceed to the next step if you meet the cutoff and minimum requirements.

  • Stage 4:  REASON FOR TRANSFER

Here you need to select the Reason for Transfer (Medical, Person With Disability, Financial Reasons, Not my preferred programme or other).

Then attach a document that supports your reason for transfer. For continuing students who want to transfer. You must attach your transcripts.

Filll in the reason for the Transfer Application in not less than 300 characters and note more than 300 characters.

Next step will load automatically if you have done everything right. Otherwise you will not be able to proceed to the next step.

  • Stage  5: Transfer Payment

Go through the payment procedure that will appear after completing the reason for transfer.  Pay via Lipa Na Mpesa Paybill and enter the Mpesa Confirmation Code.

This  system will validate your payment and the next step will load automatically.

Now click submit. Enter your index number if asked to do so and click submit again.

  • Stage 7 : ENDORSEMENT BY RECEIVING Institution

This institution which you applied to transfer to (receiving institution) will receive your transfer and endorse or reject it.

Major factor that will be considered by the receiving institution on whether to approve or reject your application is spaces available in the course you want to join.

  • Stage : Endorsement By Releasing Institution

After  your transfer has been approved by the receiving institution, the releasing institution will then endorse your transfer.

  • Stage 8: The Review By KUCCPS

After being endorsed by both the receiving and the releasing institution, KUCCPS  will be notified that the applicant has been accepted to join the institution that he applied to transfer to and he has been released from the institution that he was initially placed.

KUCCPS will then review your application for approval

  • Step 9: Transfer Letter

Once your application has been reviewed by KUCCPS and approved then the next and last step  is downloading the transfer letter and presenting it during admission or reporting.

UPDATE : the Transfer Forms can now be filled online. You don’t have to present them to the university of transfer physically.

NOTE 1: It  will be required to pay ksh. 1,000 for inter institution transfer. Only proceed if you fully understand the transfer application instructions.

NOTE 3: it is only KCSE 2021/2022 candidates are eligible for transfer.

NOTE 4: Change of course within the same University should be done after reporting at your University, not through KUCCPS portal.

The Endorsement and approval of application Timelines

Number of days it takes for the receiving institution to endorse your application varies depending on how faster the receiving institution’s registrar of academics is. It can take a day, a week, two weeks, or even a month.

The above request takes about 14 working days for KUCCPS to review and approve your transfer after it has been endorsed by both the releasing and receiving institution.

This comes even as Kenyans continue to plead with other key service providers to cut charges so as to ease the burden cost. With the current curfew, most citizens (more so those working in twilight and wee hours) are finding it hard to satisfy their needs.

Knec statement on the 2020 examiners training

The Kenya National Examinations Council, KNEC, has issued a statement concerning the 2020 training of examiners. This follows reports that the Council had made an advertisement for teachers willing to train to apply online.

Every year Knec has been carrying out training for examiners annually or from time to time as need arises. The training of new examiners is informed by: increased candidature, need to replace exited examiners and whenever new exam papers are introduced.

The Council usually trains examiners in the Kenya Certificate of Primary Education (KCPE), Kenya Certificate of Secondary Education (KCSE), Primary Teacher Education (PTE) and Early Childhood Development Education, ECDE; among other examinations.

But, Knec says it is yet to advertise for any 2020 training vacancies. The Council’s response follows numerous inquiries from teachers and other stake holders.

“KNEC has received several inquiries from headteachers, teachers/tutors in relation to the training of KCPE, KCSE, PTE, ECDE and DTE examiners. We wish to inform all headteachers and teachers that KNEC has not advertised for training of examiners in the year 2020.” Says the Council via a press statement.

There have been misleading reports online insinuating that the council had told interested teachers to apply so as to be trained.

All indications are that the Council may not advertise for any training vacancies, this year. This is largely due to the current covid 19 pandemic and the crunch school academic calendar that may leave Knec with no option than to push the training to next year.

KNEC will now have to use examiners in its database during the 2020 KCSE marking exercise that is slated for April 4 to 22, 2021.

Sad! Teachers and learners share dilapidated latrines

Teachers and pupils of Urim primary school in Siaya are caught between a rock and a hard place as they have to endure humiliation while answering calls of nature that comes their way during lesson time or count their luck if they avoid jigger infestation.

To this school community, one of the two things is likely to hound you out of the school for alternatives.

Lack of basic infrastructure at the school situated in the outskirts of Siaya town has seen teachers and pupils develop an unwritten silent rule where one has to stealthily study the environment before dashing in to the shared latrines to answer calls of nature.

And woe unto any teacher who by chance experiences a running stomach during the day as he or she will either be forced to dash to nearby thickets, or bravely ignore broken doors and persistent knocks from equally pressed pupils rushing to relieve themselves.

As a result of lack of toilets and classrooms, the school, situated in Central Alego ward in Alego / Usonga constituency has been experiencing a mass exodus of pupils and teachers who cannot stand the shame of exposing themselves while answering calls of nature.

When the media visited the school today, more shock was in store. It is not just lack of sanitary facilities that has seen teachers share the dilapidated toilets with the pupils that affect the school.

Few classrooms available are over the verge of collapse, forcing the management to improvise a system that has seen single rooms meant to host one classroom partitioned with old iron sheets to accommodate two classes – all using one door hence interfering with pupils’ concentration.

Teachers at the school lament that concentration amongst pupils becomes difficult when classes with artificial partition are on.

A parent at the school, Patricia Akech Ger laments that it has been difficult to keep teachers at the institution as most opt for institutions with better environment.

Mrs. Ger says that apart from lack of proper toilets, jigger menace is also a threat that the pupils and teachers have to contend with because of the mud floor classrooms.

She says that pupils have to, every now and then, carry cow dung to smear the floors in a bid to control the parasites.

The parent says that children from the neighbourhood prefer trekking long distance to attend other schools to avoid the shame of poor infrastructure and risk of jigger infestation.

“It is a pity that some parents from the community and their children prefer trekking long distance to other schools,” says Mrs Ger, adding that this has contributed to the dropping of academic standards.

According to the school chairman, Mr. Joseph Omondi Odima efforts to improve the infrastructure has over the years failed owing to high poverty levels within the community.

Odima, flanked by other parents called on local leaders and well-wishers to help them improve infrastructure so as to retain teachers and attract more pupils.

A senior teacher at the school, Peter Onyango Wanyang’ says it is always a nightmare for teachers whenever they feel calls of nature as a pupil may pop in at any moment while equally pressed.

Wanyang’ who is also a Kenya National union of Teachers (KNUT) Siaya branch official says that most teachers posted to the school opt to work elsewhere because of the environment.

He gave an example of two head teachers who failed to take up the position last year because of lack of facilities.

“The situation at the school has not been good. We are praying that we get well-wishers so that teachers and pupils can be comfortable,” he says adding “a comfortable teacher will definitely teach better and post good results. That is what KNUT stands for”.

Urim primary school head teacher, Pamela Otondo who is hardly five months in the institution laments that the school may be closed unless well-wishers urgently come in to help construct classrooms and toilets.

She says that the school, with a population of 120 pupils, has nine teachers who were determined to work but feel let down by poor infrastructure.

Revised KCSE 2020 group 4 project guidelines- Latest KNEC news

The Kenya National Examinations Council, KNEC, has released revised guidelines on the handling of the 2020 KCSE group IV projects. The Council’s revised schedule of timelines follows the recent reopening of schools.

“Apart from this revised schedule, all other instructions and guidelines are still in place.” says the Council Boss Dr. Mercy Karogo.

New guidelines for 442/1 -Art and Design

The deadline for uploading scores for the 2 Dimension (2D) Art and Design project was 31st March 2020. It was however not possible for some centres to work within the deadlines due to the closure of schools. The schools that did not manage to do so have until 30th October 2020 to complete and upload their scores.

The second project, which is 3 Dimension (3D), was due for uploading on 31st March 2020 to have been completed by 15th July 2020. This has now been revised and the timelines specified in the table below.

Revised guidelines for 443/3 – Agriculture

The candidates will only be assessed on Milestone 1. The examination centres whose candidates had:

  • been assessed for Milestone 1 and scores uploaded should consider the project completed;
  • been assessed in Milestone 1 but scores not uploaded should proceed to upload the scores with the evidence in the prescribed format by 30th October 2020;
  • not been assessed in Milestone 1 but kept the evidence of the individual candidate project should go ahead to assess and upload the scores with the evidence in the prescribed format by 30th October 2020;
  • not been assessed for Milestone 1 and have no evidence for the individual candidate project should redo the project, assess and upload the scores for Milestone 1 with evidence in the prescribed format by 31st January 2021.

Revised guidelines for 444/2 – Woodwork; 445/2 – Metalwork; 446/2 – Building Construction; 451/3 – Computer Studies

The examination centres whose candidates had:

  • been assessed for Milestone 1 and their scores uploaded should immediately embark on the subsequent phases of projects as specified in the table below;
  •  been assessed in Milestone 1 but scores not yet uploaded should proceed to upload the scores with the evidence in the prescribed format by 30th October 2020 then embark on the subsequent phases of the projects as specified in the table below;
  • not been assessed should assess the candidates for Milestone 1 and upload the scores with the evidence in the prescribed format by 30th October 2020 then embark on the subsequent phases of the projects as specified in the table below.
